Administration Manager

Job Purpose We are looking for an experienced Administration Manager – To plan, direct, and co-ordinate supportive services of the Company. To oversee the day to day administrative operations, in charge of the department’s functions as well as supervising and supporting staff. The goal is to ensure all support activities are carried on efficiently and effectively to allow the other operations to function properly.
To provide an internal sales function which includes but is not limited to: Processing of orders, quotes to customers, assistance to External Sales Representatives, Query solving, Assistance with Collection Customers Liaise With Branch management and support team structures (Internal and External) Customers (New, existing and prospective web based Clientele) Internal and External sales representatives Warehouse team Educational RequirementsGR 12, Additional business studies towards Administration /Sales/ Call centre Management Minimum Experience5-6 years managerial of which 4 years minimum being Sales / Customer Service related experience orientated or similar field.
Minimum Requirements
A great administration manager has excellent communication and organizational skills.
The ideal candidate will be well-versed in departmental procedures and policies and will be able to actively discover new ways to do the job more efficiently. Understanding of office management procedures and departmental and legal policies Perform HR duties (such as hiring and training staff, processing new hire paperwork and providing on the job training or mentoring to new employees). They may also conduct performance evaluations and handle disciplinary actions and processes for their staff. Familiarity with financial and facilities management principles. Assist in Creating budget plans, find ways to reduce costs of supplies and services and monitor the flow of money to ensure they stay within their proposed budget. Work with the finance department closely to perform these duties.
Proficient in MS Office (advanced preferably) An analytical mind with problem-solving skills Excellent organizational and multitasking abilities A team player with leadership skills Optional Tertiary business qualification in administration or relative field/s Key Result AreasPlan and coordinate administrative procedures and systems and devise ways to streamline processes Recruit and train personnel and allocate responsibilities and office space Assess staff performance and provide coaching and guidance to ensure maximum efficiency Ensure the smooth and adequate flow of information within the company to facilitate other business operations Manage pricing schedules and promotional drives/deadlines in conjunction with Sales and Procurement strategies.
Monitor inventory of office supplies and the purchasing of new material with attention to budgetary constraints Monitor costs and expenses to assist in budget preparation Facilitate/monitor the reporting/resolving of queries/tasks to assist the Sales Manager in daily operations that may involve the external sales activities. Customer Relationship Management and development of Social Media Interaction in line with measures and requirements set out by head office/Bounty Management. Taking of minutes and redistribution to concerned parties Drafting and distributing written communication on behalf of management.
Organize and supervise other office activities (recycling, renovations, event planning etc.) Ensure operations adhere to policies and regulations Assist in OHS requirements and development. Participate in chairing of disciplinary hearings and minute taking Strong Management skills, 6+ reportees incl Receptionist Able to coach and motivate a team, particularly internal sales Assertive, assume leading role, show confidence Previous pricing and quotes experience Customer centric i.e. excellent Customer Service ability Show initiative Good with processes
