Admin Clerk / Assistant

Primary purpose of the role:
To provide effective and efficient administrative support to Automotive Operations by accurately recording and translating hours worked, absenteism and leave to Payroll specifications and in line with legistation and Council stipulations for a workforce of 250+. Including regulating Local and Long distance driver hours and violantions. Ensuring all records are aligned and detail from Logsheets and tripsheets are analysed and trends reported to management.
General Accountabilities:
General Administration support to Operations as dictated by day-to-day requirements
General support to HR Department as dictated by day-to-day requirements
Tasks include filing and all general administration
Collecting log- and tripsheets and clockcard records weekly/daily
Accurately record working hours and other related information from Time and Attendance system and colate submission to Payroll
Accurately record working hours and other related information for submission to Payroll
Acting as the gaurdian of all personnel files relating to tripsheets and logbooks and clockcards
Process /update / approve leave on absalom as required for operational staff
Process all payroll input, appointments , terminations , transfers, salary adjustments , etc
Assist on all payroll related queries and liase with payroll
Assist in the people processes, including but not limited to the Recruitment process
Handle all leave issues annual, sick, study, maternity etc. as appropriate to recording and payment thereof
Take minutes where applicable
Liaise on all payroll issues directly and discretely with Payroll and staff
Analyse and report trends/delays as evident from tripsheets
Analyse and report violations as evident from tripsheets and escalate appropriately to manager for action
Provide any relevant admin assistance to the Depot Managers/controllers
Liaise with staff on queries relating to pay and benefits as required
Computer/Microsoft Excel,Word processing/typing: a variety of material (Payroll input via Excel spreadsheet, correspondence, reports, minutes, invoices, forms, lists etc.)

Inherent Requirements
Qualifications:
Essential: Educated to Grade 12
Any relevant payroll Administration experience
Desirable: Any relevant HR experience
General Competencies:
Computer literate: Excellent knowledge of basic Microsoft Packages eg. Excel,Word, PPT
People Skills: Exceptional interpersonal skills
Communication Skills: Excellent communication skills: both verbal and non-verbal (writing) skills on all levels
Organising Skills: Excellent organisational skills: organising, prioritising & co ordinating and recording
Local Competencies:
Good knowledge of office, operational & divisional procedures. Computer liretacy & typing- Word,Excel etc. PowerPoint
Good knowledge of BCEA and NBC agreement stipulations and relevant application thereof. Exceptional numerical skills.
Attention to detail. Strong interpersonal and communications skills , with exceptional organisational abilities
