Payroll Admin (VIP People) Motor Retail/Dealerships Head Office

Required Qualifications / Experience:

  • Grade 12
  • Relevant qualification
  • Proficient in Excel and Word
  • Experience of computerised payroll systems
  • VIP People experience

Job Responsibilities:

  • Responsible for the full payroll function of a staff compliment of +- 500 -550 people.
  • People systems used for payroll
  • Load new staff on People
  • Terminate staff on People
  • Load/ terminate all staff on the MIBCO online returns and process any commission/job title changes to correspond with People
  • Load & process all leave applications People
  • Calculate Leave Pay Outs upon terminations (CTC LPO)
  • Manage 15/20 days leave caps for each employee on People
  • Change/Update banking details on People
  • Load Tax Numbers & Tax Directives on People
  • Load/ Import all earnings: (Commission, Allowances, Incentives, Bonuses, and Increases Etc.) on People
  • Load/Import all deductions: (Advances, Loans, Perks Tax, Medical aids, Pens/Provident Funds, Standard Bank Home Loans Etc.) on People
  • Print payslips and courier to Cape Town monthly
  • Liaise with Medical Aids, Pension/Provident Funds & DoL daily
  • Add/terminate dependants/spouses on/off Discovery, Fed health & Moto Health Care medical aids
  • Process/ Withdraw/Update member details on Sanlam Fund/ MIBCO Fund/ Auto Workers Fund
  • Reconcile all payroll information, namely: Moto Health Care, Fed Health, Discovery, Sanlam Fund, Mibco Online Returns, Standard Bank Home Loans monthly after payroll is completed
  • Check Tax Validation reports before confirming pay run
  • Process all Billings and ensure all reports reach Financial Managers in time
  • Process Monthly Sanlam Consolidated SG Report for Payroll Manager
  • File all salary input upon end of the month
  • Ensure files are ready for auditing
  • Assist auditors with all information needed
  • Draft confirmation of employment letters , DoL letters, Maternity Letters & Certificate of Services Letters
  • Liaise with/ assist HR with opening new employee files
  • Stationary Orders- Monthly
  • Arranging for Crown to pick up archive boxes- Monthly
  • Responsible for pay queries and feedback to all Dealer Principals and Financial Manager/ Accountants
